How to verify the balance in your portal:
- Contact the Billing Department: If you have any questions, feel free to call the Billing Department for clarification.
- Check for any statements: Look in your patient portal for any statements that may have been posted.
- Notification of Statement Creation: You will receive a notification once a patient statement has been created.
- Possible Reasons for Balance Changes: The balance may include missed copays or remaining amounts after insurance processes your claim.
- Payment Assistance: If you are having difficulty paying your balance, contact the Billing Department. They are happy to help you set up payment arrangements.
Fees
- Cancelled appointment charges
- A late cancellation charge is the equivalent of the cost of the session.
- Example: If a 60-minute appointment is cancelled with less than 24 business hours’ notice, the charge will be $240 for the 60-minute session.
- Late Fees
- If a client’s payment is overdue by more than 30 days, a late fee of $25 will be applied each month, until payment is made or an acceptable payment arrangement is made.
- Outstanding Balances
- If a payment is overdue by more than 30 days and the balance exceeds $100, a $25 late fee will be applied each month.
- All appointments will be cancelled, and no future appointments can be scheduled until the outstanding balance is paid in full or a mutually agreed-upon payment arrangement is made.
- If a payment is overdue by more than 60 days, the same $25 late fee applies, and all appointments will be cancelled. Future appointments will not be scheduled until the outstanding balance is paid in full or a mutually agreed-upon payment arrangement is made.
Patient statements are sent under the following conditions:
- Every 30 days: Statements are issued regularly every 30 days.
- After a patient payment is received: A statement will be sent after any payment has been made by the patient.
- Once there is a balance: A statement is triggered when there is an outstanding balance on the patient’s account.
- Paper or electronic option: Patients can choose to receive their statements either in paper form or electronically. Contact the billing department if you have a preference.
- Balance changes: After a statement is generated, the balance may increase if additional claims are received from insurance or if any missed copays are identified, potentially increasing the original balance reflected on the statement.
